Meany PTSA Summer Board Meeting - 8/26/19

Welcome – Introductions

PTSA materials for the first week packets

Prior to the meeting, Lara and Jen met and went over the PTSA materials from last year and made a few edits and sent the edited forms to the rest of the board via email to take a look at before the board meeting. At the meeting the board made a couple of additional edits:

• Added a link to donate to the annual fund on page one of the welcome letter

• Changed Baker’s Boutique on the volunteer opportunities page to The Meany Closet (new name per Principal Oatis).

Jen plans to make copies of the updated PTSA materials at school tomorrow using the PTSA copy code (650 copies). The school has asked the PTSA to recruit volunteers to assemble the first week packets (all forms/paperwork that get sent home with each family) during the first week in September. Ms. Marshall has printed all of the SPS forms and has those ready to go in the conference room next to the PTSA office.

Jen suggested assembling the packets on Tuesday morning 9/3 and Wednesday morning 9/4. Meghan has the list of volunteer emails from last year and will create a Signup Genius link requesting volunteers to send out to those folks; Jen will post the link in the Meany Facebook group.

PTSA meeting dates for the school year

For planning purposes, we chose a regular/recurring meeting time for board meetings so that we can get all of the meetings for the school year on the calendar. We are encouraging Meany teachers/staff to each sign up to attend at least one PTSA meeting (board or general meeting) during the year. Mr. Manriquez will request that the staff sign up once we send him the schedule.

PTSA Board Meetings — held monthly on 2nd Tuesday (no meeting in December) from 6:30-8:00 pm in the Meany library.

General PTSA Meetings (in bold) — 4 meetings during the school year: 4th Tuesday in September, November, February and May from 6:30-8:00 pm in the Meany library

Picnic for New Meany Middle School Families

Tomorrow (Tuesday 8/27) from 5:00-7:00pm at Miller Community Center in grassy area adjacent to the playground behind the school. Elizabeth Kennedy (6th grade parent) is organizing. Jen Emrich and Linda Moy will be there representing the PTSA and handing out free freezer pops and Meany bags/stickers. Jen will bring a table set up with PTSA info and a sign-up sheet for newsletter; will also have information available about open board positions and volunteering. Miller Community Center will have a representative there with information about their teen programs.

PTSA Providing Lunch for Meany Staff

The PTSA will provide lunch for the teachers and staff during one of their set-up “TRI” days this week (Wednesday 8/28 at 12:00 in the staff room). We did this last year for them as well. Anna Finkenzeller (Teacher/Staff Appreciation Coordinator) is organizing and picking up most of the food with help from Malia Keene and Jen Emrich. Jen will bring a large Greek salad and flowers and help with the set-up. The school asked if the PTSA would also consider providing a breakfast this year for the TRI days out of our Staff Appreciation budget. We offered to reimburse them for a breakfast if the school organized it rather than organizing/providing the food ourselves. (Note for future planning: the school turned in a receipt for breakfast totaling $600 -- they ordered boxed meals including coffee. The PTSA could save money by doing the breakfast ourselves.)

Volunteer Greeters Needed for Wednesday, September 4th

Volunteers needed to help greet and direct students/parents (first day of school for 6th graders ONLY). Jen Emrich is available that morning and will send an email request to find other 7th and 8th grade parents and students to help greet new families.

Jen asked if someone would be willing to say a few words about the PTSA at the New Parent Orientation in the cafeteria that morning from 9:05-9:35am. Meghan volunteered to speak at the Orientation. Jen sent updated PTSA slides to Ms. Baker to include in the PowerPoint presentation. Jen will be at the Orientation to help answer questions and recruit volunteers for the PTSA board/committees.

Recruiting People for Open PTSA Board Roles and Committees

Vivian volunteered to be the 6th Grade BLT Rep (in addition to her role as Equity & Outreach Co-Chair). Suggestion to try to recruit more folks at the new families picnic, parent orientation on Sept. 4th, Curriculum Night, etc.)

Multi-Cultural Potluck Dinner

Linda Moy (Community Building Chair) and Meghan Dort Lackey (Events Chair) will work together to plan this event. Aiming to hold it mid-October or early November.
